Job Description:

PRINCIPAL ACCOUNTABILITIES

  • Provide administrative and logistical support at the direction of the Board Chair, CEO, and the Chief of Administration
  • Provide support for the C-Suite / Senior Leadership Team as required
  • Provide support to the Board of Directors, committees, subcommittees, and task forces, including Supervisory, Governance, Finance, Compensation, and Strategic Planning
  • Act under delegated authority from and in the absence of the Chief of Administration
  • Coordinate and manage a comprehensive calendar of Board & Committee in-person and virtual meetings, appointments, and conference calls
  • Coordinate logistics and compile agendas and materials for Board and committee meetings
  • Coordinate materials to ensure the CEO, Chief of Administration, and Board and committee members are prepared for meetings
  • Prepare Board and committee meeting minutes and ensure their review and approval
  • Administer and maintain the Board portal, ensuring documents are uploaded and current and all members of the Board and committees have access
  • Research, compile, draft, edit, and proofread correspondence, documents, presentations, proposals, and reports
  • Manage all Board policies, to include monitoring review dates, ensuring regulatory compliance and that policies have full management and legal review, as required
  • Provide assistance to and counsel the Board regarding fiduciary and regulatory duties as described in the Kitsap Credit Union Bylaws
  • Assist in the creation, implementation, and revision of Board and Committee procedures
  • Coordinate educational resources for the Board and monitor individual Board member training, conferences, and CU association participation
  • Coordinate Board and committee travel & expense policy management, conference travel logistics, and corporate card reconciliation
  • Coordinate Board annual budget approval and track SOWs and invoices accordingly
  • Coordinate Board participation in the Annual Meeting, Strategic Planning sessions, regulatory exams, bi-annual assessments, etc.
  • Maintain a Board and Committees roster and contact lists
  • Assist with prompt resolution of member concerns received by the Board
  • Maintain strict confidentiality inside and outside of the credit union, relative to any information received directly or indirectly at all times
  • Assist with KCU-wide initiatives (e.g., DEI)

Qualifications and Education Requirements

  • Combination of education and experience equivalent to five years in a financial environment preferred
  • Five years administrative experience working for senior level management, interacting frequently with peers and senior level management
  • Skills in the use of math, Business English, grammar, writing, and taking and transcribing business meeting minutes
  • Must possess effective communication and interpersonal skills
  • Must be precise and detail-oriented, organized, and able to handle multiple projects at one time, while remaining flexible, proactive, resourceful, and efficient
  • Must possess a proficient level of computer and internet literacy, including five plus years’ experience with Microsoft Office Suite (Word, Excel, Outlook, Visio), Adobe Acrobat Pro and others as defined, as well as an aptitude for mastering new applications and monitoring current computer applications
